Terms & Conditions
THE TINY PONY PROJECT PARENT AGREEMENT, TERMS & CONDITIONS OF ATTENDANCE
1. Definitions The Tiny Pony Project refers to all activities, sessions, workshops, holiday clubs, educational programmes, pony-assisted learning sessions, nature-based activities, staff, volunteers and representatives operating under The Tiny Pony Project.
2. Booking and Payment Places are only secured once booking confirmation has been received. Fees must be paid by the stated deadline. The Tiny Pony Project reserves the right to refuse attendance where fees remain unpaid.
3. Attendance Requirements Parents/carers must provide accurate registration, emergency contact, medical and support information and notify the project of any changes immediately.
4. SEND and Additional Needs The Tiny Pony Project welcomes children with additional needs wherever reasonably practicable. Parents/carers must disclose all relevant diagnoses, behavioural information, sensory needs, support requirements and risk factors to enable safe planning.
5. Nature of Activities Activities may include animal-assisted learning, pony grooming, pony leading, nature education, woodland activities, crafts, environmental learning and outdoor experiences. Activities are generally unmounted unless expressly stated otherwise.
6. Assumption of Risk Parents acknowledge that activities involving animals and outdoor environments carry inherent risks including slips, trips, falls, unpredictable animal behaviour, weather conditions, environmental hazards and natural obstacles.
7. Medical Consent In an emergency, staff may seek medical treatment for a participant if parents/carers cannot be contacted immediately. Parents remain responsible for disclosing relevant medical information.
8. Behaviour Standards Participants must follow instructions, treat animals kindly, respect staff and other participants and behave safely. Unsafe behaviour may result in immediate removal from activities.
9. Animal Welfare The welfare of ponies and other animals is paramount. Sessions may be altered, suspended or cancelled where staff consider welfare may be compromised.
10. Safeguarding The Tiny Pony Project is committed to safeguarding children and vulnerable adults and will act upon concerns in accordance with safeguarding legislation and project policies.
11. Photography and Media Photographs and videos may only be used in accordance with written parental consent and the project's photography policy.
12. Collection of Children Children will only be released to authorised adults. Identification may be requested where appropriate.
13. Illness and Exclusion Participants who are unwell, contagious or unable to participate safely may be refused attendance in the interests of safety and welfare.
14. Cancellation by Parents More than 14 days notice: refund less booking fees. 7–14 days notice: 50% refund. Less than 7 days notice: no refund unless otherwise agreed.
15. Cancellation by The Tiny Pony Project The project may cancel activities due to severe weather, animal welfare concerns, staffing issues or events outside its reasonable control. Alternative dates, credits or refunds may be offered.
16. Limitation of Liability The Tiny Pony Project accepts responsibility only to the extent required by law. Nothing in these terms excludes liability for death or personal injury caused by negligence or any liability that cannot legally be excluded.
17. Data Protection Personal information will be processed in accordance with UK GDPR and relevant data protection legislation.
18. Complaints Procedure Complaints should be submitted in writing and will be investigated in accordance with the project's complaints procedure.
19. Force Majeure The Tiny Pony Project shall not be liable for failure to perform obligations where circumstances arise beyond its reasonable control including extreme weather, disease outbreaks, government restrictions, utility failures or emergencies.
20. Governing Law These Terms and Conditions shall be governed by the laws of England and Wales.
PARENT/CARER CONSENT AND ASSUMPTION OF RISK DECLARATION
I understand that participation in activities at The Tiny Pony Project involves interaction with animals, outdoor environments, natural features and educational activities which carry inherent risks. I acknowledge that ponies and animals can behave unpredictably despite appropriate supervision and handling procedures.
I understand that activities may involve uneven ground, mud, weather conditions, woodland areas, natural obstacles and other environmental hazards.
I voluntarily permit the participant to attend and participate in activities provided by The Tiny Pony Project.
I confirm that all relevant medical, behavioural, emotional, developmental and support information has been disclosed. I agree to comply with all project policies, safety rules and staff instructions.
I consent to emergency first aid being administered and emergency medical assistance being sought if required.
I understand that The Tiny Pony Project maintains appropriate insurance, risk assessments and safeguarding procedures but cannot eliminate all risks associated with animal-assisted and outdoor activities.
I have read, understood and agree to these Terms and Conditions.
